1. General Commitment

At Astai Tech & Consulting, we are committed to providing professional services while respecting the privacy of our clients and partners. This policy outlines how we handle data collected through our website.

2. Information Collection

You provide information through our contact form, Expert Network application, booking widget and public AI assistant. Data-minimized technical usage information may also be recorded to operate and improve the website.

  • Contact form: Name, professional role, email, optional telephone number and enquiry details.
  • Booking widget: We use Cal.com for scheduling. Cal.com receives your name, email, selected time and any information you enter in its booking form.
  • Expert Network application: Name, email, LinkedIn profile, area of expertise and any professional summary you choose to provide.

3. Data Usage

We use this information to operate and improve the website and public AI assistant, and to:

  • Respond to your professional inquiries.
  • Manage scheduled meetings and discovery calls.
  • Communicate collaborative project opportunities (for network experts).

4. External processors and storage

Contact and Expert Network forms use Web3Forms to transmit submissions to Astai. Cal.com processes booking information and sends meeting confirmations. Their own processing, security and retention terms apply. Astai keeps resulting correspondence and professional records only for the relevant enquiry, relationship and applicable legal needs. We do not sell, rent or trade your data for marketing purposes.

5. Data-minimized website analytics

Astai uses its own first-party analytics endpoint to count page visits, visits to key commercial pages, successful form redirects, completed Cal.com bookings and Core Web Vitals (LCP, INP and CLS). A booking is counted only when Cal.com reports successful completion, not when a visitor merely clicks or opens the calendar.

The analytics record contains the page path without query parameters, event type, referring hostname, campaign labels when present, country supplied by Cloudflare, a broad device class and an anonymous browser-session hash. It does not store the raw IP address, full referrer URL, full user-agent string, form contents, name, email or booking identifier. Preview and local-development traffic is not recorded. Do Not Track and Global Privacy Control signals disable this measurement.

Analytics events are retained for no more than 13 months and then deleted by an automated retention task. No cross-site advertising cookie or third-party analytics platform is used.

6. Your Rights

As per global data protection standards (including GDPR where applicable), you have the right to:

  • Request access to the personal data we hold about you.
  • Request the rectification or erasure of your information.
  • Withdraw consent for future communications at any time.

7. Public AI assistant

Taquio is Astai’s public AI assistant. Do not use it to share confidential information, credentials, trade secrets, sensitive personal data or private documents. For confidential work, describe the need in general terms and agree an appropriate channel with us.

Taquio sends messages to the OpenAI API to generate responses. OpenAI does not train on API inputs or outputs by default, unless the customer opts in. Abuse-monitoring logs may be retained for up to 30 days, with legal or safety exceptions. We record conversation identifiers, language, page and timestamps. This is not a zero-retention service.

Active conversation transcripts are retained for at most 30 days. Deletion from the active database does not immediately erase infrastructure recovery history: Cloudflare D1 Time Travel can retain earlier database states for an additional recovery window of up to 30 days. Recovery history is not used as an operational chat archive; expired transcripts must be purged before restored data returns to service. Information deliberately converted into a legitimate enquiry or contractual record is handled separately for that purpose.
